RainaIQ ("we," "us," "our") provides online tutoring services for students from Kindergarten through Grade 12, aligned to the Ontario curriculum. This policy explains what information we collect through our website and tutoring sessions, how we use it, and the choices available to you.
1. Information we collect
- Contact form submissions: parent/guardian name, email address, student's grade, and any details shared in your message.
- Booking information: details provided when scheduling an intro call or session, such as preferred times and subject needs.
- Session recordings: video and/or audio of tutoring sessions, where recording is enabled (see Section 4).
- Communications: emails, messages, or call notes exchanged between you and RainaIQ.
2. How we use this information
- To respond to inquiries and schedule sessions or intro calls
- To match students with an appropriate tutor and plan curriculum-aligned lessons
- To share progress updates with parents/guardians
- To review session recordings internally for quality assurance and tutor training
- To meet legal, safety, or administrative requirements
3. Children's information
RainaIQ's services are directed at students in Kindergarten through Grade 12, many of whom are minors. We collect student information only through a parent or legal guardian, who provides consent on the student's behalf when booking or submitting a form. We do not knowingly collect personal information directly from a child without a parent or guardian's involvement. Parents and guardians may contact us at any time to review, correct, or request deletion of their child's information.
4. Session recordings
Some or all tutoring sessions may be recorded for quality assurance, tutor training, and dispute resolution. Where a session is recorded:
- Parents/guardians are notified in advance and asked for consent before a student's first recorded session.
- Recordings are stored securely and accessible only to authorized RainaIQ staff.
- Recordings are retained for a limited period (see Section 6) and are not shared publicly or with third parties without consent, except as required by law.
- Parents/guardians may request that their child's sessions not be recorded, or request a copy of an existing recording, by contacting us.
5. Sharing of information
We do not sell personal information. We may share information with:
- Tutors directly assigned to your child, to the extent needed to plan and deliver sessions
- Service providers who help us operate (e.g. scheduling, email, video-conferencing tools), under confidentiality obligations
- Authorities, where required by law or to protect the safety of a student
6. Data retention
We retain contact and booking information for as long as needed to provide services and meet legal obligations. Session recordings are retained for a limited period after the session (for example, 90 days) unless a longer period is needed for an active concern, after which they are deleted.
7. Security
We use reasonable administrative and technical safeguards to protect personal information, including restricted access to recordings and stored data. No method of storage or transmission is completely secure, and we cannot guarantee absolute security.
8. Your rights
Under Canadian privacy law (PIPEDA), you may request access to, correction of, or deletion of personal information we hold about you or your child, subject to legal and contractual limits. To make a request, contact us using the details below.
